Sales Support Administrator

The expansion of customers, consultants, and tight control over contractor margins has emphasised the need for timely and accurate accounting routines as well as tightly managed credit control and other accounting procedures.

We are looking to hire an exceptional Sales Support Administrator to work alongside the acting Finance assistant and Finance Director to help grow and develop the structure of the business and increase capacity for future business requirements.

Responsibilities:

*Issuing new contracts to contractors and clients and ensuring that our reporting systems are updated to reflect contract details
*Daily contact with responsible consultants re outstanding information requests (contract team specifically)
*First point of contact for contractors - welcoming, queries, procedures, payments etc  
*Weekly Reconciliations of active contractors (working with the contract team), ensure all admin is complete to allow timely invoicing of clients. Resolve any queries re timesheets and any other areas of potential difference
*Implementing / overseeing contract management (including but not limited to all paperwork/ extensions) I.e. the issuing, collating, filing and managing all documents from consultants and clients
*Liaising with Limited companies and umbrella companies regarding contract business.
*Credit control, enforcing Company terms, and liaising with appropriate parties to ensure timely settlement of debt where required, under Finance Assistant direction
*Undertaking Ad-hoc projects and supporting the Operations team with any day-to-day duties as required, financial analysis and duties as guided by the Finance Director and Finance assistant
*Working with all ledgers: To include posting supplier invoices, supplier statement reconciliations, raising Sales Ledger invoices, dealing with queries regarding PO numbers, rates, dates etc. and the issuing of credit notes.
*This role will report into the Finance Director but will work most closely with Finance assistant

Skills required:

Previous exposure to a private sector work environment where the skills listed have been utilised. Ideally within a relevant sector such as Marketing, Media, Commercial or recruitment
*Knowledge and previous use of SAGE Line 50 is a must
*Candidate must have a moderately high level of Excel and Access knowledge
*Awareness of AWR and employment working practices are desirable but not essential
*The ability to work to strict deadlines and prioritise daily work loads
*Excellent interpersonal, verbal and written communication skills - to deal with contractors, external contacts and internal consultants
*Good organisational skills, a high level of efficiency and the ability to take the initiative to work to, and sometimes implement own processes
*Will be professional, discrete, trustworthy, diligent and reliable
